What we collect
Account details (name, email, city, state, ZIP, phone if given). For notaries: listing details, commission number, state and expiration date. For requests: document type, description, signer names, location, timing, and any files you upload. Payment of the $5 platform fee is processed by Stripe or NOWPayments; we never see or store card numbers.
Why we use it
To match clients with notaries, run the optional AI readiness check, draft the notary journal entry, verify notary commissions, collect the platform fee, and keep a tamper-evident record of completed notarizations. We do not sell or share personal information for advertising.
Who can see it
A request is visible only to the client who posted it and the notary assigned to it (verified notaries can see open requests before they're claimed, but never uploaded files). The AI check sends only that request's own description to our AI provider. Our administrators can see notary commission details to verify them.
How long we keep it
Completed notarization records may need to be kept as long as notary journal laws in the notary's state require. Other data is kept while your account is active.
Your rights (including GDPR and California CCPA/CPRA)
You can delete your account and data yourself at any time: sign in, open your dashboard and use "Delete my account and data" at the bottom. It removes your account, profile, listing, open requests and uploaded files, and releases any jobs you claimed as a notary. For anything the button can't cover — accounts tied to a completed, sealed notarization, data export or correction requests, disputes, or security reports — email kodesh4life@gmail.com from the address on your account; we answer within 30 days. We don't sell or share your data. Records a notary must keep by law may be retained.
Security
Data is encrypted in transit, access is enforced by per-user database rules, and uploaded files live in private storage reachable only through short-lived links.
